TITLE: Registrar
LOCATION: Urbana Middle School
SUPERVISOR: Principal
JOB SUMMARY: The responsibility of the Registrar is to keep all student records up to date.
ESSENTIAL FUNCTIONS: To perform this job successfully, an individual must be able to perform each essential function satisfactorily.
- Greet and direct visitors and students.
- Answer phone calls and direct them as necessary.
- Enter all schedule changes and run schedules.
- Maintain and update cumulative folders for every student.
- Maintain and update student enrollment status.
- Receive confirmation of student enrollment and transfers.
- Keep student medical information updated when notified by Central Office.
- Process and mail Progress and Quarterly Report Cards to parents and guardians.
- Process Honor Roll quarterly.
- Compile and maintain failures and incompletes.
- Maintain and report all address changes.
- Assist with attendance, check in and out for appointments, and make calls to parents on absences and illnesses.
- Maintain and update monthly emergency preparedness information.
- Help with first aid for students.
- Provide Notary services.
- Perform any and all additional duties as assigned by the Principal, office manager, or administrative team.
QUALIFICATIONS:
EDUCATION
- Minimum of a High School Diploma or Equivalent. Associate’s Degree or Vocational Training preferred.
EXPERIENCE
- Minimum of 3 years of secretarial/clerical experience preferred.
- Experience with computers, word processing, spreadsheets, publications (flyers, programs, documents), and working with office equipment such as copiers and fax machines.
OTHER SKILLS AND ABILITIES:
- Ability to communicate effectively and professionally with the public both orally and in writing.
- Ability to maintain strict confidentiality in regard to student and personnel records.
- Strong attention to detail and excellent organizational skills.
- Ability to meet deadlines and adjust to changing situations.
- Strong public relations skills and ability to interact with various people from diverse backgrounds.
TERMS OF EMPLOYMENT: This is a Level II Clerical Position. The salary is determined by the Board of Education. The work year is twelve months.
EVALUATION: The performance of this job will be evaluated in accordance with the Board’s policy on evaluating support personnel.

NOTE: This is a non-exempt position that is not within the collective bargaining unit or an administrative position.
