TITLE: Administrative Assistant to the Assistant Superintendent for Student Learning
LOCATION: Jean F. Burkholder Administrative Service Center
SUPERVISOR: Assistant Superintendent for Student Learning
HOURS: 8 hours per day, 5 days per week, and nights/weekends as determined by the Assistant Superintendent. for Student Learning
JOB SUMMARY: Under the direction of the Assistant Superintendent for Student Learning, the Administrative Assistant provides effective administrative support of a confidential nature to the Assistant Superintendent of Student Learning; communicating information to staff, the public, and other districts; and providing information and/or direction as may be requested.
ESSENTIAL FUNCTIONS: To perform this job successfully, an individual must be able to perform each essential function satisfactorily.
- Composes documents, correspondence, agendas, minutes, bulletins, reports, etc. for the purpose of communicating information to school and district personnel, the public, state officials, etc.
- Arranges meetings and makes travel arrangements for Assistant Superintendent for Student Learning and others in the Curriculum, Instruction, and Assessment Division as necessary
- Evaluates situations involving other staff, students, parents, the public, etc. for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
- Monitors budget, including tracking expenditures and providing reports. Prepares spreadsheets for monitoring budget lines, including tracking and reconciling accounts.
- Process requisitions for items to be purchased..
- Drafts correspondence as appropriate, and ensures the Assistant Superintendent’s correspondence is processed in a timely manner, balancing the need for accuracy and efficient turnaround time.
- Oversees the office’s incoming and outgoing post, telephone calls and other communication, identifying priorities and dealing directly with a wide range of matters.
- Processes documents and materials, schedules, agendas, mail, etc., for the purpose of dissemination information to appropriate parties.
- Responds to inquiries of staff, the public, parents and/or students for the purpose of dissemination information to appropriate parties.
- Maintains confidentiality when working with private material concerning the district or individuals.
- Processes complaints and requests for information from the general public, students, faculty and staff; refers inquiries and all information to the necessary parties.
- Prepares agenda and attachments for any and all meetings and committees.
- Acts as primary contact for Assistant Superintendent as Homeless Liaison; enters all Homeless Common Form information into Skyward and connects building and district personnel as needed.
QUALIFICATIONS:
EDUCATION
- Bachelor’s Degree preferred but not required, in fields related to areas covered by this job description.
EXPERIENCE
- Administrative secretarial experience and training preferred. Prior job-related experience with increased levels of responsibility.

- Very Organized, and portrays a professional image at all times
- Excellent communication, presentation, and listening skills.
- Meticulous proofreading skills and attention to detail.
- Strong analytical and organizational skills, the ability to prioritize in the face of competing demands. Must have the ability to multitask or work on several tasks within a given time.
- Must be proficient in the use of word processing, spreadsheet, and data-base systems; accurate and fast copy- and audio-typing skills.
- Must be proficient in use of the internet and email applications as it applies computer skills.
- Must be able to relate to the public or parental concerns with effective communication skills.
- Must qualify as a Notary Public within the first six months in this classification
TERMS OF EMPLOYMENT: Salary is determined by Administrative Assistant Salary Scale.
EVALUATION: Performance of this job will be evaluated in accordance with provisions of the Board’s policy on evaluation of professional personnel.
